MD Anderson’s Institutional Compliance Program supports the institutional mission, vision and core values, and works to ensure the institution adheres to all applicable laws, rules and guidelines. The Institutional Compliance Program provides MD Anderson employees the most accurate, concise and up-to-date information and advice to foster a culture of responsibility. The Institutional Compliance Office addresses general and corporate compliance matters, as well as compliance issues related to research, billing, reimbursement and privacy.

The Administrative Assistant serves as principle administrative and communications contact for the Senior Legal Officer, Billing & Reimbursement Compliance. This position manages administrative aspects of the Senior Legal Officer, Billing & Reimbursement Compliance's workflow and assures a smooth operation.

Salary Range

Minimum: $33,600 Midpoint: $42,000 Maximum: $50,400

Key Functions

  • Maintains daily calendar of appointments, meetings, trainings, conferences, etc.

  • Initiates professional correspondence with investigators, executives, and other members of the health care team to request/arrange meetings or respond regarding scheduling conflicts.

  • Schedules and coordinates meetings.Arranges for rooms, audiovisual support, catering or other conference material as required.

  • Coordinates travel logistics, which may include conference registration, airline and hotel reservation, ground transportation, and/or other special requests associated with travel.

  • Prioritizes and processes expense reports following travel.Collects appropriate receipts and other documents required for completion of report. Initiates follow-up as necessary in order to maintain timely reimbursement using the web-based Concur software.

  • Purchases goods and services and processes payment via a Check Request, Procard, or a requisition created in Resource One.

  • Organizes and maintains specialized and complex filing systems, records, and indexes.Coordinates distribution of materials and archiving of files on closure.

  • Provides support for Compliance Programs and Billing & Reimbursement Compliance educational events.Able to work effectively with audioconference, teleconference and webinar information/materials to facilitate a positive conference experience. Troubleshoots electronic equipment when problems arise.

  • Participates in a variety of other assignments that enhance infrastructure of the Compliance Programs and the Billing & Reimbursement Compliance program or improve the quality of services provided by the Institutional Compliance Office.

  • Assists with the preparation of special projects, such as major reports/documents. Possesses working knowledge regarding the incorporation of graphic materials to enhance presentation.Organizes, photocopies, and binds presentation materials.

  • Supports various departmental activities by hand delivering work products to individual departments or executive management on the main campus when requested.

  • Physically attends and participates in departmental staff meetings, administrative staff meetings, and routine meetings.Verbally identifies problems and offers suggestions or ideas for changes in procedures.

  • Demonstrates strong interpersonal and clear communication skills in order to establish and maintain the confidence of the department staff and varied clients of the department.

  • Follows-up on items /activities to ensure timely completion of all tasks.

  • Serves as the back-up for other Institutional Compliance Officeadministrative support staff for breaks, annual leave or illness.

  • Answers telephones promptly and courteously in a clear, audible and understandable manner.

  • Provides callers with accurate information and screens and routes incoming calls to the appropriate Institutional Compliance Staff.

  • Takes accurate and detailed messages and retrieve messages from the voice mail system and promptly distribute appropriately via electronic communications.

Education

Required: High school diploma or equivalent. Specialized training in secretarial skills (such as word processing and business).

Experience

Required: Four years secretarial experience including advanced secretarial duties.

Other Requirements

Must pass pre-employment skills a test as required and administered by Human Resources.
