The primary purpose of the Administrative Assistant position supporting the Clinical Operation Informatics group within the Office of Performance Improvement (OPI) at MD Anderson is to perform complex administrative and secretary duties requiring judgment within general guidelines.

Salary Range

Minimum: $36,000 Midpoint: $45,000 Maximum: $54,000

Key Functions

  • Support multiple departments within OPI

  • Coordinate, organize, and carry out the day-to-day activities of the office, spending the majority of time on administrative support and applying institutional policies

  • Maintain Associate Director’s calendar and coordinate meetings with other departments

  • Schedule conference rooms for Clinical Operations Informatics as well as outside departments

  • Serve as timekeeper, keeps accurate records and maintains staff request for time off via Web Schedule

  • Coordinate travel arrangements and prepares reimbursements for travel and/or other expenses that apply with both institutional and departmental policies

  • Prepare agendas and complete minutes for meetings as requested

  • Submit request for all office needs for maintenance, and equipment as needed

  • Run monthly Procard reconciliation report

  • Take and distribute meeting minutes as needed

  • Submit requests for purchasing in Resource One and maintain files for documentation

  • Maintain office supply inventory

  • Maintain and update EIW training records

  • Provide coverage for other support staff in the event of personal time off or illness

  • Create and maintain files as required

  • Answer phones and route calls to the appropriate team

  • Ensure timely completion of assignments and tasks

  • Represent department in a professional and appropriate manner within the institution, as well as externally


Required: High school diploma or equivalent. Specialized training in secretarial skills (such as word processing and business).


Required: Four years of secretarial experience including advanced secretarial duties.
