The Administrative Assistant in Experimental Radiation Oncology provides administrative support for assigned research faculty, their technical support staff and educational trainees. Duties include secretarial/administrative support for individual faculty, staff, and research personnel and backup support for other Administrative Assistants and their faculty. This individual also provides administrative and financial assistance to the grant management team for grant activities. In addition, this Administrative Assistant works with the procurement team for purchasing and related activities.
This position requires independent judgment, innovative thinking, decision making ability, initiative, organization, teamwork, and comprehension of basic administrative procedures.
The mission of the Division of Radiation Oncology at The University of Texas MD Anderson Cancer Center is to provide compassionate, state-of-the-art, quality radiation treatment to cancer patients while integrating education, laboratory and clinical research and radiation physics to achieve improved outcomes. Experimental Radiation Oncology at https://www.mdanderson.org/research/departments-labs-institutes/departments-divisions/experimental-radiation-oncology.html (ERO) is the laboratory-based research arm of the Radiation Oncology division.
Theideal candidate will have MD Anderson Experience with Concur and Kronos, aswell as strong MS Office skills such as Excel, Word, Access, and PowerPoint.Experience supporting faculty in an academic setting is preferred.
Theideal candidate will have good interpersonal and problem-solving skills, theability to work independently and handle complex issues in a diverse researchgroup.
Minimum: $33,600 Midpoint: $42,000 Maximum: $50,400
Administrative support of assigned faculty and labsincluding travel, calendars, expense reports, reimbursements via Concur,meeting coordination.
Serves as departmental backup Timekeeper.
Tracks, records and reconciles PRS expenditures andmonitors spending for assigned faculty.
Utilizes purchasing process within the Department whennecessary.
Maintains curriculum vitae in institutional formatusing FIS system for assigned faculty.
Coordination of departmental research seminars toinclude obtaining speakers from faculty and trainees, compiling speakerschedule, communicating with and arranging travel for speakers, securingroom, ordering catering, setting up room, and escorting speaker ifapplicable.
Answers assigned phone lines and serves as a backup forother departmental phones as needed.
Creates and maintains files as required.
Composes formal and informal correspondence.
Acts as backup for other Administrative Assistants.
Provides assistance for mail distribution and otherrelated duties, as required.
Provides administrative assistance in the preparation,activation, regulation, tracking, reporting and submission of grantapplications.
Assists faculty with grant proposal preparation asneeded.Ensures that supporting documents (Biosketches, budgets, etc) are currentand accurate.
Assists grant management team with administrativeplanning for grant initiatives.
Assists grant management team with the reconciliatn ofgrants, and to verify accuracy, resolve errors, and ensure adherence withinstitution, state, local, and federal regulations.
Assists procurement team with purchasing procedures andprocesses including but not limited to contacting purchasing and/or vendorfor product availabilities, pricing, and order placement as necessary,coordinating receipt of goods with receiving facilities, reviewing orderrequisitions for accuracy/completeness/ability to process, following upwith/providing feedback to customers regarding status of orders and onvarious procurement issues, processing return goods requests for return tovendor, maintaining accurate procurement records, inputting informationinto PeopleSoft, coordinating and distributing procurement data to facultyand management, approving/resolving invoice exceptions, and makingnecessary corrections to orders placed.
Assists procurement team with ProCard functions for theDepartment of Experimental Radiation Oncology and RadiationOncology-Research.
Assists procurement team to coordinate withfaculty and management for all capital equipment purchases and validate thelocation of the equipment on an annual basis following both divisional andinstitutional processes and procedures.
Required: High school diploma or equivalent. Specialized training in secretarial skills (such as word processing and business).
Required: Four years secretarial experience including advanced secretarial duties.
Preferred: MD Anderson experience with Concur and Kronos, as well as strong skills in Microsoft Office. Experience supporting faculty in an academic setting is preferred.
Required: Must pass pre-employment skills test as required and administered by Human Resources.
