Title: Administrative Assistant

Key Functions

  1. Faculty/Management Support

  2. Maintain and update the faculty's curriculum vitae, biographical sketch and external profile in the FIS on a monthly basis. Post current version on the GU shared drive.

  3. Enter faculty travel days in the Web Schedule database and include the extramural balance for tracking purposes

  4. Assist the Executive Assistant and Chairman with coordination of the faculty evaluations.

  5. Assist the faculty, Department Administrator and Management team with completing reports as requested

  6. Maintain electronic records of faculty activities

  7. Assist with orientation and training of new employees

  8. Responsible for sorting incoming mail for assigned faculty and staff

  9. Transcription of oral dictation

  10. Assist faculty and Grant Program staff by researching and compiling information for grants and reports

  11. Assist faculty and managers with presentations and posters as needed.

  12. Schedule meetings and appointments for faculty and managers (includes updating calendars, conference room reservations, A/V, and catering)

  13. Coordinate travel arrangements and itineraries for faculty, staff and visitors (includes reimbursements and expense reports upon completion of trips).

  14. Departmental Support

  15. Gather pertinent information in order to compose written correspondence.

  16. Format manuscripts according to journal requirements and submit for publication.

  17. Display a strong command of the English language (including proper grammar and verbal/written communication).

  18. Organize and disseminate information in a clear, concise manner.

  19. Maintain, monitor and reconcile financial activities (including PRS)

  20. Backup departmental telephones.

  21. Follow up on all assignments to ensure timely completion.

  22. Provide administrative support to the Department Administrator and the Department as needed.

  23. Assist Department Administrator with special projects as assigned

  24. Provide administrative support to other department staff as needed.

    Salary Range

Min: $36,000 Mid: $45,000 Max: $54,000

Education Required: High school diploma or equivalent.

Experience Required: Four years of administrative/secretarial experience. With preferred degree, no experience required. Must pass pre-employment skills test as required and administered by Human Resources.
