The Administrative Assistant in the Head & Neck Center at MD Anderson Cancer Center coordinates personnel actions and record maintenance, coordinates departmental accounting and purchased expenses, and provides collaborative administrative support to the department.

Most new patients who come to MD Anderson every year are treated in one of our specialized cancer care centers or clinics, which embody the multidisciplinary, team approach to cancer care that has become an MD Anderson trademark. MD Anderson's Head and Neck Center has a remarkable depth of expertise gained by seeing more than 50,000 patients a year with cancers and benign tumors of the head and neck. We treat head and neck cancers with a diverse team of oncologists, surgeons, radiation oncologists, neuro-radiologists, dental oncologists and plastic surgeons with special training in head and neck cancers. Together, they design customized treatment plans that may include proton therapy, Gamma Knife radiosurgery, targeted therapies and advanced reconstructive surgery methods.

JOB SPECIFIC COMPETENCIES:

  1. Administrative Support:

Provides administrative support to the management and staff of the Center. Duties include meeting planning and minutes transcription, oversight of center functions in collaboration with center leadership, travel and expense report management, correspondence, catering requests, room scheduling, check requests, and other supportive tasks.

  1. Human Resources:

Coordinates the processing confidential paperwork, maintaining Human Resource records in compliance with Joint Commission requirements including but not limited to: new employee orientation, performance appraisals, compliance and safety records, regulatory compliance, employee rewards and recognition and job information. Timekeeper for the center.

  1. Physical Resource Monitoring:

Manage and coordinate center functions including maintenance of physical plant, physical inventory and space planning. Collaborates with members of the management team in equipment inventory. Maintains supply inventory according to Center standards.

  1. Accounting Documentation & Procurement Compliance:

Knowledgeable of and initiates the development of accounting documentation. Utilizes appropriate institutional systems for data entry, tracking, etc. Responsible for document preparation and on-line entry in accounting and/or purchasing system. Ensures purchases are within prescribed delegation of dollar limits. Supports center in the formulation of purchase orders/requests by identifying prospective suppliers, determining availability of goods and budget pricing. Processes requisition and coordinates the receiving of goods by interfacing with the receiving facility and expedites the delivery of goods. Maintains files of current specifications and catalogs.

  1. Phone support:

Provide phone support to the front desk and monitors Avaya call queue.

Salary Range: $36,000 - $45,000 - $54,000

EDUCATION:

Required: High school diploma or equivalent.

Preferred: Bachelor's degree.

EXPERIENCE:

Required: Four years of administrative/secretarial experience. With preferred degree, no experience required.

Preferred: Experience with administrative support, accounting, purchasing, and timekeeping.

OTHER:

Required: Must pass pre-employment skills test as required and administered by Human Resources
