MD Anderson Cancer Center Administrative Coordinator - Lymphoma/Myeloma in Houston, Texas

One of the largest multidisciplinary programs for lymphoma and myeloma in the U.S., the department includes 25 faculty members, 20 of whom see and treat patients. Our patients benefit from a team approach that includes our colleagues in radiology, surgery, radiation therapy, hematopathology, and stem cell transplantation, as well as clinical pharmacists, research and clinical nurses, social workers, and dietitians.

The salary range is: min-$44,800, mid-$56,000 and max-$67,200.

KEY FUNCTIONS

Project Coordination and Planning

• Responsible for the implementation and management of the Weekly Clinical Investigational and Translational Research Conference (CITRC), as well as any new/other ongoing projects as deemed appropriate by Faculty to include both internal and external initiatives. Ensures project completion and adopts a solution-focused approach to ensure projects are completed as requested by Faculty.

• Independently coordinates the Lymphoma Weekly CITRC to include the CITRC Faculty Director in Lymphoma and the Lymphoma Research Teams. Ensure the priority protocol list is current by consulting with the Lymphoma Regulatory Team and that the Web Site is updated each week to coincide with the priority protocol list. Compile data to prepare the weekly presentation for review and discussion at the weekly CITRC. Update the weekly CITRC slides to include patient enrollment by Lymphoma Faculty and by clinical research team members to monitor progress of the patient enrollment as defined in each protocol. Take meeting minutes and follow-up on action items from the weekly CITRC. Ensure that all new protocols have been approved by the CITRC Faculty Director and the Department Chair. Upon, approval the Faculty member will present the Protocol LOI to the CITRC at the weekly conference for discussion and then vote to move forward with protocol approval/activation based on the protocol's ability to improve patient standard of care.

• Coordinate internal and external conferences and seminars as requested by Faculty. Coordinate routine meetings on behalf of the Faculty, secure meeting location, prepare meeting materials as appropriate, set-up computer and projector for presentation, send out calendar invitations to participants, takes meeting minutes and disseminate to correspondents to ensure everyone involved receives the most current information.

• Coordinate all Department Web Site efforts; solicits information to incorporate into web site additions, updates, etc.

• Coordinates strategies to enhance collaboration between Faculty and clinical research personnel.

• Makes trustworthy decisions on behalf of Faculty in his absence.

• Coordinate clinic coverage to align with Faculty time off requests

• Coordinate Faculty credentialing renewal ensuring class enrollment is completed prior to certification expiration and ensuring certification renewal(s) are submitted to the Credentialing Office. Coordinate and purchase departmental laboratory common supplies based upon weekly inventory.

• Coordinate and update the staff roster in collaboration with the Laboratory Manager, to include the building directory, the Departmental Safety Manual(s), and the Departmental Emergency Manual(s).

Financial Management

• Monitors and submits expenses on behalf of Faculty to include expense reports, travel reimbursement requests, purchase orders.

• Works closely with the Departmental Administrator ensuring proper accounts are used based on expenditures and that funds are available to cover the expense.

Administration

• Provides administrative support to Faculty and respective clinical research personnel.

• Arranges and manage heavy and often complex domestic and international travel for Faculty and clinical research personnel, ensuring that all reservations are made timely through the MD Anderson system Concur and comply with Departmental Travel guidelines.

• Coordinate and schedule a large volume of daily appointments for Faculty using Outlook, exercising judgment and understanding of work environment, priorities, and preferences.

• Coordinate CV and Biosketch updates using the Institution's FIS system. Work closely with Faculty ensuring all information is accurately reflected.

• Prepare correspondence as requested by Faculty. Send thank you letters to donors, recommendation letters to respective candidates, and collaboration letters to respective collaborators.

• Coordinate mail distribution, HR Files, departmental orientation, policy/procedure issues and faculty requests in collaboration with the Laboratory Manager. Consult with Laboratory Manager on tasks assigned that requiring direction.

• Assist in obtaining signatures for visas, trainee appointments, faculty appointments, grant proposals and contractual agreements in coordination with the Laboratory Manager.

EDUCATION

Required: High school diploma or equivalent.

EXPERIENCE

Required: Nine years business/management experience to include two years in a health care environment or related field. May substitute education for relevant experience on a one to one basis.

Preferred: Meeting coordination, calendar management and the ability to multi-task in the support of multiple faculty members.
