MD Anderson Cancer Center Administrative Coordinator - Radiation Therapeutic Administration in Houston, Texas

The mission of The University of Texas M. D. The primary purpose of the Radiation Services, Administrative Coordinator position is to perform operations support for their assigned center. The person will be responsible for assisting Center leadership in coordination of facilities projects and rounding, equipment asset management, acquisition of capital equipment and assist Admin Director in preparing center level reports.

KEY FUNCTIONS

Administrative, Project Planning and Coordination 40%

· Perform administrative functions for assigned leader(s), including assistance with meetings and project, agenda preparation, presentations and meeting minutes

· Assist with accreditation readiness tracking and meetings

· Order technology equipment for clinical staff

· Provide administrative support for all center facilities project meetings

· Document project schedules; issues and risks within, and across multiple projects.

· Communicates project schedule; issues and risks within, and across, multiple projects.

· Responsible for coordination of all center operational process improvement projects and initiatives

· Work with internal and external stakeholders to organize the various components needed to initiate, execute and conclude projects

· Arrange Concur travel for executive director/nursing/therapy teams and prepare expense reports

· Other duties as assigned

Facilities Management 30%

· Serves as the on-site coordinator or physical resource utilization including, inventory control, asset management, space planning and property maintenance. Coordinates with Center leadership for funding of all service needs.

· Manages on-site business operations communication, including but not limited to center directory changes, facilities requests, etc.

· Coordinate routine facilities rounding with housekeeping and environmental health and safety to ensure building is well maintained and meets building code compliance

· Responsible for submission and tracking of all 3-500 facilities request.

· Assist center administrative director in submission of all FAR request

· Completes weekly Center rounding with Administrative Director and provided a status list

· Completes institutional tracer reports

· Other duties as assigned

Finance - Purchasing, Inventory control and Asset Management 20%

· Assist center Administrative Director with oversight and tracking of inventory processes related to all assets and equipment owned or leased within assigned center.

· Interface with division leadership to ensure a standard of continuous process improvement related to asset management

· Responsible for purchasing and expense tracking processes for Center operations, utilizing internal controls and reconciliation practices.

· Assists placing orders in SharePoint/PeopleSoft and following process until complete. Manages office supply stock, inventory and order placement for the center.

· Pro-card holder (process pro-card transactions and maintain accurate records in compliance with institutional financial control policies and procedures Assist administrative director and Center medical director in the collection of information for annual Capital equipment budget cycle

· Kronos timekeeping as needed

· Other duties as assigned

Data management/recordkeeping and reporting 10%

· Assist Center Administrative director in tracking and reporting equipment utilization and downtime

· Track and report on weekly radiation treatment activity and provide look ahead projections

· Keep track and manage capital equipment replacement schedule

· Prepares KPI report for center leadership review

· Other duties as assigned

EDUCATION

Required : High school diploma or equivalent.

Preferred : Bachelor's degree

EXPERIENCE

Required: Seven years of administrative or related experience. With preferred Associate's degree, five years of required experience and with preferred Bachelor's degree, three years of required experience.

Preferred: Four years of experience in a professional administrative capacity to include at least one year in a coordinator/lead role.
