Summary
The primary purpose of the Personnel Assistant is to support for the Division of Nursing related to Human Resources transactions including, processing activities that require record keeping, research and follow-up. The ideal candidate will have a high school diploma or equivalent and four years of experience in human resources, business or related field.
Key Functions
Function #1: Processes the weekly Kronos timekeeping records
· Enters missing punches (green slips)
· Paycheck resolutions
· Paycheck corrections
· Request LWOP and PT6 from Human Resources Benefits Department
· Consistent communication with the Associate Director and designated timekeeper on the units to ensure that employees' work time is entered accurately into Kronos
· Conducts weekly sign-off in Kronos
· Assigns appropriate time in Kronos for those employees on FML or other leaves of absence
Function # 2: Initiates and process eJDUF for the following actions
· Employee transfer
· Return to work
· FTE changes
· Clinical Coach Pay
· Weekend Option Pay
· Separations
· Merits
· Change in Salary
· PDM Increases
· New Graduate Orientation Complete
· Promotion/demotion
· Ad-Interim Pay
· Non-FML Leave of Absence
Function #3: One Staff
· Enter all new employees
· Remove separated employees
· Transfer employees as necessary
· Completes all other necessary actions as needed
Function #4: Processes new employees files for the Division of Nursing
· Creates an Enter on Duty list for new employees to the DON
· Verifies all licensing information for new Nursing employees in DON
· Creates file folders for all new employees
· Inputs all new employee data into OneStaff
Function #5: Works closely with the IBMs to ensure that nursing units are in compliance with budgeted FTEs by maintaining accurate information on Position Control Reports
· Run position control report queries for filled/unfilled positions
· Monitors financial reports
· Maintain personnel files for Division of Nursing
Function #6: Liaison for Nursing Recruitment Office
· Verify and post vacant positions
· Monitor the Applicant Tracking System (ATS) for available vacant positions
· Verify position numbers via the Applicant Tracking System (ATS)
· Process additional positions for job fairs as needed
Function #7: Special Projects
· Assist with Certification Pay Program
· Maintain and update Nursing certifications for the entire institution
Function #8: Provides support for the NCAP Fund Program in accordance with the program philosophy and guidelines.
· Inputs data into the SharePoint database for all transactions
· Maintain SharePoint / NCAP database
· Process payments with procurement card
· Maintain procurement card transaction log
· Fax membership, certification, and registration payments to organizations recognized by the institution
· Review and approve reimbursements and Travel Expenses utilizing the Concur System
· Provides excellent customer service to internal and external customers
Marginal Functions
May be required to provide back-up support to other Personnel Assistants in the Nursing Payroll Office, including but not limited to management and expedition of projects, verifying information or processes, etc.
QUALIFICATIONS
Education
Required: High school diploma or equivalent.
Experience
Required: Four years of experience in human resources, business or related field.
Must pass pre-employment skills test as required and administered by Human Resources.
