Program Coordinator – Gynecologic Oncology

The ideal Program Coordinator will have Bachelor's degree and three years of program/project management experience. Preferred skills include Graduate Medical Education (GME), Discover, Observer, Post Doc, and VISA experience.

Coordinates Visitor/Observers

Coordinates the observers/guests administrative activities for the department. Requests information regarding purpose of visit and research interests to assist in initial screenings. Maintains and updates visitor information manual provided to each visiting physician, international scholar or visitor. Creates a Discover account for all observers. Maintains a database of all inquiries and the status of all requests/applications as well as applicant information, dates of appointment, name of mentor and purpose of visit. Ensures that department's Visitors/Observers website page is current and all forms are up-to-date. Maintains calendar of all observer appointments to ensure all approved observers are accounted for. Informs approved observers/visitors of the required MD Anderson paperwork to affect their appointments. Submits all required documents to Academic & Visa Administration (AVA) for processing. Coordinates the appointments of observers/visitors with AVA. Greets all observers and coordinates introductions to department faculty and staff. Oversees and/or conducts orientations for new observers and guests by following the departmental orientation protocol. Provides all guests and observers with weekly departmental meeting schedules. Completes OR observer documents for visit and facilitates obtaining scrubs

Coordinates Educational Appointments and Visas

Coordinates the department's educational appointments for postdoctoral fellows, research interns, graduate research assistants, college students, high school students and any other educational titles (including Felix Rutledge residents as well as non-clinical residents). This includes entering the applicant in the institution's Discover system, processing the applicant's completed documents and submitting the recommendation for appointment via Discover and other documents as requested. Enters the student's information into the department's educational spreadsheet and maintains the information. May meet with faculty member(s) and/or supervisor(s) to determine the needs of proposed positions, reviews budget constraints, discuss salary ranges and make recommendations for the type of title. Consults with the Sr. Financial Analyst or Grant Managers, if necessary, to ensure that adequate funds exist to process appointment. Submit ePAFs for appointments, reappointments and any salary changes for educational appointments. Contacts potential applicants via e-mail and sends forms and instructions to candidates for completion. Reviews appointment paperwork and forms returned to ensure that all documents are accurate and packet is complete. Forwards all completed packets to Academic and Visa Administration (AVA) for review/approval/processing. Alerts faculty to educational appointments that are nearing completion and processes reappointments if approved by faculty. Submits reappointment in a timely manner to AVA and follows up to ensure timely completion. Contacts faculty to determine which of their educational appointments tuition is being supported. Submits tuition payment forms to GSBS. Serves as the department contact on Visa related issues for educational positions.

EDUCATION

Required: Bachelor's degree in Business Administration or related field.

Preferred : Master's degree.

EXPERIENCE

Required: Three years project/program coordination experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, one year of required experience.
