MD Anderson Cancer Center Program Manager - VP, Research Office in Houston, Texas

KEY FUNCTIONS

Project Management (60%)

  • Builds and manages databases to support research activities.

  • Uses project tracking tools to manage projects and track documents within the VP Office.

  • Documents signed by the VP and ED.

  • Faculty reappointments, evaluation status, etc. for all basic science faculty including action items.

  • Projects being evaluated and/or under consideration.

  • Other projects as assigned.

  • Manages the Wall of Science including extracting publications, coordinating activities with the selection committee, retrieving faculty information, coordinating printing and framing.

  • Communicates deadlines and ensures compliance.

  • Provides project management skills to support faculty recruitment activities.

  • Coordinates special projects related to the basic science departments and other units.

  • Collects and organizes data and performs data analysis.

  • Creates graphics for presentations and documents using multiple software types such as Microsoft suite, Adobe suite, etc.

  • Creates and maintains shared folders to facilitate information exchange across operational units.

  • Facilitates grant submissions for VP, Research and ensures Biosketch, CV, Other Support are updated regularly.

  • Partners with academic departments regarding trainee appointments, visa, etc.

  • Manages and updates the Web and intranet sites for Office of the VP, Research.

Administrative Support for the VP, Research and Executive Director (40%)

  • Manages a large volume of daily activities exercising independent judgement requiring solid business acumen to understand the comprehensive work environment. Exercises discretion when meeting and corresponding with all levels of employees.

  • Maintains calendars and schedules large and complex meetings with institutional leaders across the enterprise (President, CSO, Division Heads, Department Chairs, VPs, AVPs, etc.) and with leaders from external institutions for both the VP and ED.

  • Takes detailed minutes of meetings with confidentiality being paramount and distributes to appropriate individuals.

  • Coordinates all travel arrangements and reimbursements for the VP Office.

  • Prepares correspondence, memos, documents, and detailed reports.

  • Prepares drafts of all presentations.

  • Proofreads documents and presentations for spelling and grammatical errors.

  • Serves as point of contact for coordinating activities with Chairs and their administrative leads.

EDUCATION

Required:

Bachelor's degree.

Preferred:

Master's degree

EXPERIENCE

Required:

Five years related experience, to include three years program management experience.

May substitute required education degree with additional years of equivalent experience on a one to one basis.

With preferred degree, three years of required experience.
