Department and Divisional Support
Provides complex administrative and clerical support, problem solving, prioritization of tasks and independent planning, and implementation of projects. Coordinate, monitor, and assist with assigned departmental projects as required. Create, submit, and track patient material using appropriate institutional, divisional, and/or dept system/procedures (i.e. file room requests, slide imaging, special slide staining, materials to be filed, CORe requests, etc).Coordinate complex aspects and ensures timely submission of required documentation for assigned tasks. Demonstrates knowledge of appropriate software applications to produce graphs and charts for conference/lectures. Arranges conferences according to department specifications, including booking rooms, catering, and required equipment. Manages preparation of multi-disciplinary conference by ordering slides, printing reports, and arranging in-person or virtual meetings. Prioritize jobs and independently seek out resources necessary to complete assigned tasks. Perform administrative functions, which may include oversight/team lead duties and/or training administrative support staff. Participates in projects and other duties as assigned
Provides oversight of administrative processes impacting the operation of the section
Monitors and balances company center budget activity requiring account review, tracking and analysis, reconciling status reports and identification and resolution of potential problems. Financial Monitor, track, reconcile, and attest financial funding sources.
Performs some or all of the functions of an Administrative Assistant
Perform some or all of the function(s) of an Administrative Assistant to include but limited to providing coverage of FNA Clinic reception area, answering department phones, Kronos timekeeping, supply ordering, and department daily runs for specimen pick up and drop off.
Administrative, coordinate, monitor and process faculty appointments including but not limited to, arranging travel, meetings with multiple faculty members, and all faculty appointment related activities. Provide high-level administrative support for departmental administration and/or Cytology departmental faculty. Create, review, verify, track and process expense report(s), purchase order(s), catering requests etc. submitted by administration, faculty and/or fellows. Ensures timely submission of required reports/documents for assigned faculty, including but not limited to manuscripts, grants and protocols. Maintains calendar appointments for assigned faculty. Assists with routing of clinical patient material for faculty. Research, create and maintain CV's, Other Support Page and NIH biosketch in appropriate institutional format using institutional software and other software as needed. Edit and proofread document for errors and consistency. Responsible for updating information, on a monthly basis, by the last day of each month. Assist with research related activities and projects; including but not limited to assisting in the preparation/submission of grants, protocols, etc. Performing advanced administrative duties related to research faculty, post-graduate fellows and research assistants. Assist with scheduling, reimbursements and other research related activities, as needed.
High school diploma or equivalent. Five years of administrative/secretarial experience. With preferred Associate's degree, three years of required experience and with preferred Bachelor's degree, one year of required experience. Must pass pre-employment skills test as required and administered by Human Resources.
