MD Anderson is seeking a Sr. Administrative Assistant for the Development Office in the Texas Medical Center.

Ideal candidate will have experience managing multiple calendars in Outlook for multiple managers, booking travel using an online booking tool and processing expense reports.
The primary purpose of the Senior Administrative Assistant position is to provide highly responsible administrative and secretarial work for Development field officer(s). Organize and coordinate donor related fundraising activities, as assigned by supervisor. Interface with internal and external constituencies as directed.
Typing, faxing, photocopying, arranging appointments and maintaining complex meeting schedule, preparing/proofreading/editing correspondence, answering telephones as needed, generating and maintaining filing systems, generating/authorizing/tracking routine forms and correspondence, handling incoming/outgoing mail. Assist with site visits for donors/prospects at the institution in collaboration with development specialist; assist with calendar availability and preparing meeting materials as needed. Create and monitor research requests and maintain confidential information on donors/prospects and ensure proper filing and use of information. Manage accuracy of donors/prospects information entry into database to ensure the integrity of system and collaborate with Prospect Research and Management to ensure accurate and timely data input. Assure that contact reports and other pertinent donor/prospect information is entered in a timely manner. Complete special projects as needed.
Travel Procedure Functions
Prepare and confirm travel arrangements, mapping, and packet preparation, coordinating calendars and schedules for appointment purposes in a timely manner. Reconcile accounts for gift-related funds and direct report's credit card/monthly donor related expenses to ensure that expenses are in compliance with institution and department regulations including approvals. Complete travel reimbursement activities in a timely manner. Coordinate the approval of travel requests/authorization requests in a timely manner to avoid cancellation charges.
Scheduling and Calendar Management
Schedule appointments and effectively manage multiple calendars. Scheduling of internal and external meetings and preparing meeting materials.
Required: High school diploma or equivalent.
Preferred: Bachelor's Degree.
Required: Five years of administrative/secretarial experience. With preferred degree, one year of required experience.
Preferred: Experience managing multiple calendars in Outlook for multiple managers, booking travel using Concur and processing expense reports
Must pass pre-employment skills test as required and administered by Human Resources.
