KEY FUNCTIONS
Administrative
Coordinate and schedule internal and external meetings, includes preparing agendas and ensuring all necessary meeting materials are available.
Coordinates visitors to the platform including alliance partners, lecturers, and other outside guests.
Manage calendars for IMT scientists and directors, by coordinating schedules to maximize efficiency and minimize conflicts.
Schedule interviews for open positions, by coordinating with hiring managers and candidates.
Submit travel requests and process reimbursements for department staff, ensuring adherence to organizational policy.
Maintain office supply inventory, handle ordering, and manage the department's purchasing needs to ensure adequate stock levels and timely replenishment.
Annually reviews the departmental administrative processes to ensure compliance and efficiency.
Perform other duties as assigned to support the department's administrative needs and organizational goals.
Procurement
Contacts vendors for sourcing, availability, pricing, and order placement; maintains up-to-date knowledge of current pricing through established relationships.
Process return goods requests and expedite rush orders with vendors.
Provide feedback to Procurement on vendors' customer service levels.
Review requisitions for accuracy, completeness, compliance with institutional guidelines and availability of funds.
Enters departmental requisitions into PeopleSoft.
Follow up to ensure receipt of orders.
Approve and resolve invoice exceptions through interaction with Receiving and Accounts Payable.
Communications and Correspondence
Compose formal and informal correspondence, create and format program-related presentations, maintains complex and confidential patient and pharmaceutical alliance program files.
Create announcements, agendas, presentations, and reports for IMT events, programs and projects.
EDUCATION
Required: High school diploma or equivalent.
Preferred: Associate's degree or Bachelor's degree.
EXPERIENCE
Required: Five years of administrative/secretarial experience. With preferred Associate's degree, three years of required experience and with preferred Bachelor's degree, one year of required experience.
OTHER
Required; Must pass pre-employment skills test as required and administered by Human Resources.
