The Senior Administrative Assistant provides administrative support to the Executive Director and Directors in the Financial Clearance Center and Managed Care departments at MD Anderson Cancer Center.

The Senior Administrative Assistant performs administrative duties which require independent judgement within general guidelines in support of the departments.Duties include complex administrative responsibilities as well as assisting with meetings, word processing, typing, faxing, photocopying, composing/editing proofreading, answering telephones, maintaining filing system, sorting and distribution of memos and mail, maintaining effective working relationships with faculty, staff, supervisors and the public.The Senior Administrative Assistant must demonstrate the ability to maintain confidentiality, to execute any standard clerical duties and the ability to use independent judgment and analysis to gather facts and to determine appropriate solutions.

Salary Range

Minimum: $38,800 Midpoint: $48,500 Maximum: $58,200

Key Functions

  • General Administrative Support

  • Provides secretarial and administrative support to the Executive Director and Directors of Financial Clearance Center and Managed Care.

  • Maintains calendar for Executive Director and Directors, using discretion and good decision making in scheduling appointments.

  • Oversees budget reconciliation of personnel and non-personnel items.

  • Provides general administrative support to the department, including coordination of meetings and conferences according to department specifications, including booking rooms, provide catering services, and scheduling audio-visual needs.

  • Utilizes PeopleSoft software and advanced Microsoft Office skills in creating spreadsheets, charts, graphs, developing PowerPoint presentations, and organizational charts in Visio.

  • Retrieves and distributes department mail daily.

  • Maintains general office files.

  • Composes formal and informal correspondence.

  • Attends meetings as requested, which includes taking & preparing meeting minutes.

  • Performs all duties with a high degree of confidentiality and discretion.

  • HR Support & Timekeeping

  • Serves as one of the primary timekeepers for the departments, requiring a high level of detail and integrity.

  • Assists with the coordination of human resources activities, including recruitments and ePAF submission.

  • Schedules interviews for departmental recruitment efforts.

  • Purchasing & Travel

  • Orders general office supplies and other purchases using the purchase order or procard process.Maintains a standard supply inventory and monitors supply levels timely.

  • Coordinates employee travel arrangements, including prompt and accurate submission of travel expenses.

  • Manages and maintains office equipment, including submission of work orders for equipment service and coordinating the computer equipment and software needs of the department.

  • Assists in budget preparation and reconciling expense activities for the department.

  • Assists in budget and space planning, prepares various accounts, POs, check requests.

  • Assists in budget preparation process as needed.

  • Assists with bi-annual space planning survey and reporting to Capital Planning and Management.

  • Prepares check requests and vendor payments, including reimbursement of employee expenses.

  • Coordinates payment for purchase orders related to outside services.

  • Coordinates procard payments.

  • Financial Controls

  • Tasks associated with this function will include among other things, ordering and receiving supplies, reconciliations of personnel and non-personnel expenses, encumbrances, revenue, budget and balances.

  • Reconciliations and statistical sample verifications.Tasks that are time sensitive much be performed in a manner that ensures meeting deadlines.

  • All reconciliations and financial controls activity that require approval of the Director or Manager must be provided to them for review and approval at least 48 hours before due date.


Required: High school diploma or equivalent. Specialized training in secretarial skills (such as word processing and business).


Required: Four years of secretarial experience including advanced secretarial duties.

Required: Must pass pre-employment skills a test as required and administered by Human Resources.
