MD Anderson Cancer Center Senior Administrative Assistant- Urology in Houston, Texas

SUMMARY

The Sr. Administrative Assistant will provide administrative support to two or more physicians. This includes arranging critical administrative needs for the Faculty members, such as travel arrangements and financial reimbursements. In addition, the Sr. AA role is responsible for composing, creating and submitting grants, manuscripts, slide presentations, memos, letters and other documents as requested by physicians. The Sr. AA also assists the Program Coordinator of Education with the department's Fellowship and other trainee programs.

KEY FUNCTIONS

1) Coordinate travel arrangements and enter information in the Concur system. Type and submit physician time away request form. Maintain Faculty member's calendar.

2) Coordinates virtual and in-person conferences that correspond to the department or their respective faculty. Responsible for timely communication and invitations of the conferences.

3) Update faculty curriculum vitae and NIH biographical sketch via the FIS system. Submit all medical licenses and visa information for faculty. Provides updates to the department on all renewals (medical license, DPS and DEA certificates) before the expiration of the current license or certificate. Train new employees on various tasks.

4) Track all incoming and outgoing correspondence. Provides telephone coverage and provides back-up coverage for other assistants. Transcribes reports, articles, memorandums, and speeches. Conduct literature searches on articles of interest via on-line and the Research Library. Copy clinical and professional articles from medical journals. Scan graphics and photographs for use in publications or presentations.

5) Calculate expenses, prepare expense reports and reimbursement requests. Provide copies of all invoices, check requests, travel requests etc. associated with faculty members' accounts for each item on the dedicated reporting system.

6) Department of Urology Fellowship and Resident Program: Provides back-up coverage for overall administrative support and oversight with some delegated management responsibilities. May be appointed to create schedules for rotating medical students, visitors, and observers.

7) Other duties as assigned.

EDUCATION:

Required: High school diploma or equivalent.

Preferred: Bachelor's degree in Business Administration or related field.

EXPERIENCE/SKILLS:

Required: Five years of administrative/secretarial experience. With preferred degree, one year of required experience.

Preferred: Experience with calendar maintenance, coordinating travel arrangements, excellent communication skills (oral and written), administrative experience, organizational skills, technical knowledge and navigation skills with various applications (Microsoft 360, Epic, database applications).

SCHEDULE: Hybrid schedule, In the office several times per week.
