MD Anderson Cancer Center Senior Administrative Assistant in Houston, Texas


The primary purpose of the Sr. Administrative Assistant position is to provide superior secretarial and administrative skills of a highly confidential nature for the Department of Plastic Surgery, assigned physicians and other duties as assigned by the Program Manager or the Surgery Department Administrator.


1) Typing and Transcription.

a. Accurately types and transcribes medical dictation, manuscripts, references, correspondence, abstracts, protocols, and other administrative documents. Proofreads, edits, and formats all documents to achieve error-free output.

b. Assists faculty member with slide preparation and manuscript or grant submissions according to journal guidelines / author instructions. Composes and types formal and informal correspondence.

2) Coordination and Scheduling.

a. Keeps accurate records of all deadlines and status of progress toward same. Responsible for special project coordination and implementation. Includes all parties who need to be involved in or have input into projects.

b. Maintains calendars and schedules appointments with insight to anticipate date or time conflicts. Confirms meetings, locations, etc. Submits notification to clinic and other parties of faculty absence. Participates and assists in the patient care process by handling telephone calls from patients, referring physicians, care centers and new patient referral when required.

3) Organization and Records Management.

a. Opens and sorts mail and acts responsively when appropriate. Establishes and maintains an effective filing system.

b. Arranges all aspects of travel using a checklist and suspense system to provide a complete and accurate itinerary for faculty travel and processes expense reimbursement in a timely manner (usually within three working days of obtaining receipts), as well as monitoring the receipt of reimbursement and verifying the amount of the check against the documentation.

c. Maintains and updates CV, licenses, memberships, subscriptions, etc.

d. Projects and maintains balance of faculty member's development funds in a proactive manner.

e. Maintains record of Continuing Medical Education credits.

4) Reception and Guest Relations.

a. Accepts responsibility for all departmental telephone lines and participates in front desk rotation. Screens and routes calls effectively. Takes message accurately and completely.

5) Other.

a. Assists residents, nurses, physician assistants, etc., as necessary.

b. Performs back-up duties for all administrative support staff in the department when needed. Determines clinician's administrative needs during the absence of primary assistant. Performs other duties as requested by faculty members, Program Manager, or Department Administrator. Problem solves by developing practical procedures and processes designed to most expeditiously use available resources.

Required Education:

High school diploma or equivalent.

Required Experience:

Five years of administrative/secretarial experience. With preferred degree, one year of required experience.

Preferred Experience/Skills:

Experience with travel, experience with PRS maintenance, strong communication skills (written and verbal), someone who can work independently and is self-motivated is highly needed.

Other Requirements:

Must pass pre-employment skills test as required and administered by Human Resources.
