MD Anderson Cancer Center Sr Administrative Assistant - Controller's Office in Houston, Texas
The primary purpose of the Sr. AA position is to serve as an integral role as the point of contact for the Grants & Contracts office. This position will also be responsible for assisting with a wide variety of complex and confidential administrative activities for departments that roll up to the Controller's office. This position will work with the administrative team to provide services to all levels of management and administration.
Spends majority of time supporting administrative functions and duties for the Grants department and Controller's Office departments by working closely with the admin team.
Manages calendar for department executive and other levels of management as needed.
Assists with scheduling of meetings and maintains schedules for conference rooms.
Assists with departmental purchases of supplies and equipment and processes requisitions via PeopleSoft system.
Maintains ProCard and handles reconciliations each month.
Coordinates human resource activities including processing confidential paperwork, submitting ePAFs, maintaining records and job information.
Makes travel arrangements and prepares expense reports for reimbursements.
Mail pick up and distribution.
Manages Kronos and employee time approvals.
Handles event planning for departmental and division occasions, including retirement celebrations.
Greets, screens and routes telephone calls and visitors. Answers and directs incoming calls from the main GC line in a very professional manner.
Maintains the Institutional Membership List.
Helps to route and obtain approvals for Alcohol Beverage Forms/Charitable Expenditure Forms.
Composes formal and informal correspondence.Other duties as assigned. Salary Range: Minimum $38,800 - Midpoint $49,500 - Maximum $60,200
Required: High school diploma or equivalent.
Preferred: Bachelor's degree. Two years of formal secretarial training from an approved business or secretarial school.
Required: Five years of administrative/secretarial experience. With preferred degree, one year of required experience.
Must pass pre-employment skills test as required and administered by Human Resources.
