The primary purpose of the Sr. Administrative Assistant position in Office of the VP is to provide high-level professional administrative support for the Executive Director of Facilities Finance and Finance department staff. Manages the daily administrative functions for the Facilities Finance department and provides daily administrative function support for the Office of the Vice President with demonstrated proficiency in timeliness and a high degree of accuracy on projects assigned.

Administrative Support the Executive Director of Facilities Finance Provides administrative support for the Executive Director of Facilities Finance. Uses independent judgment and complex analysis to gather facts and determine appropriate solutions generally based on experience and department practice. Ensures timely submission of required reports/documents by tracking stages, alerting involved parties, and initiating response process.

•Daily admin support to the Executive Director.

•Scheduling of meetings, preparation of optimizers, attending meetings, and taking/distributing minutes.

•Maintains executive director’s records, filing systems and coordinated record management.

•Answers and triages phone lines.

•Composes cover letters/memos and other materials

•Assists with compiling presentation for meetings as needed.

•Mail/Courier/Fed Ex packages

•Other duties as assigned

•Maintains all documentation and data sensitive and confidential

Administrative Support to Facilities Finance Department Staff/Back-Up to OVP Office •Daily admin support to the Facilities Department staff.

•Scheduling of meetings, preparation of optimizers, attending meetings, and taking/distributing minutes.

•Timekeeper for Facilities Finance.

•Maintains office supplies for the department.

•Handles employee reimbursements

•Resource One Entry – Enters purchase requisitions as needed

•Maintains departmental records, filing systems and coordinated record management.

•Cross Sectional Support

•Back-Up administrative support for

•Back-Up for OVP's on meetings and on general office administrative support

•Answers and triages phone lines for Facilities Finance and OVP

•Composes cover letters for department staff

•Assists with compiling presentation for meetings as needed.

•Mail/Courier/Fed Ex packages

•Other duties as assigned

•Maintains all documentation and data sensitive and confidential

Financial/Budget Support, Operational Matters, Special Projects & Travel Arrangements Monthly reconciliation of section expenses and resolution of expense discrepancies as required.

•Handles Procard purchases (training registrations) and reconciliations

•Runs financial reports, budget and expense books, budget compilations, PeopleSoft report

• Prepares travel requests/reimbursements, expense reports, check requests, FM HR Administration reports & support memos, emails, and mail processing

•Resource One Entry – Enters purchase requisitions

•Process and makes Travel arrangements, reimbursements, license renewals, etc.

•Handles special projects.

•Uses independent judgment and complex analysis to gather facts and determine appropriate solutions generally based on experience and department practice.

•Maintains all documentation and data sensitive and confidential

Required: High school diploma or equivalent. Specialized training in secretarial skills (such as word processing and business). Four years of secretarial experience including advanced secretarial duties.

Must pass pre-employment skills a test as required and administered by Human Resources.
