MD Anderson Cancer Center Sr Administrative Assistant - Pulmonary Medicine in Houston, Texas

Provides administrative support to the department administrator and faculty as assigned.

Performs complex administrative support of a highly confidential nature requiring independent judgment, initiative, discretion, and a basic knowledge of medical terminology and administrative procedures. The incumbent impacts the organizational efficiency and productivity of the Department Chair and faculty. The position also requires a high level of interpersonal and quantitative skills to organize and maintain data, prioritize requirements of multiple faculty, department administration and ability to prepare work products within general guidelines.

Faculty Support

  • Supports the faculty as assigned.

  • Opens and distributes incoming mail.

  • Proactively manages faculty schedules and calendars. This includes processing the necessary paperwork for faculty leave, clinic schedules and coordinating meetings and special projects as assigned.

  • Maintains faculty CVs and biosketches on a quarterly basis.

  • Assists Chairman with the faculty appraisal process by sending communication to all faculty, scheduling meetings and assisting faculty with questions regarding the on-line system.

  • Coordinates monthly faculty meeting agenda. (schedules room, prepares agenda, prepares handouts, room set-up, orders food, sends out reminders.)

  • Arranges all travel preparations, scheduling airline reservations and hotel accommodations. Prepares, processes and logs all reimbursements and tracks extramural leave. Ensures that all expenditures are processed according to institutional guidelines and that the respective faculty is reimbursed accordingly.

  • Types, creates and composes correspondence, forms, charts, minutes, etc. Composes complex confidential correspondence from basic information for Department Chair Completes routine institutional forms as needed, tracks extramural leave.

  • Reconciles PRS Accounts and departmental funding sources for assigned faculty according to institutional and departmental guidelines.

  • Prepares, processes, tracks and logs all supply orders, reimbursements, etc. Orders and reimbursements must be processed (ready for signature) within forty eight (48) hours of request.

  • Maintains the publications directory for department.

  • Other duties as requested by assigned faculty.

    General Office Coverage

  • Provides telephone coverage on a rotational basis for the department. This includes answering the phone, transferring calls to the appropriate person/area; relaying messages; taking consult information, paging the appropriate persons.

  • Serves as the backup to the administrative support staff in completing purchase requisitions, ordering supplies and equipment. Administrative Support

  • Assists with special projects as assigned.

  • Accurately complete the typing and/or processing or check requests, travel requests, print shop requests, order forms requisitions (i.e. ready for authorized signature) within forty eight (48) hours of request.

Required: High school diploma or equivalent. Five years of administrative/secretarial experience. With preferred degree, one year of required experience.

Must pass pre-employment skills test as required and administered by Human Resources.
