MD Anderson Cancer Center Sr Administrative Assistant - Symptom Research CAO in Houston, Texas
The primary purpose of the Senior Administrative Assistant position is to perform highly responsible, complex and confidential secretarial, administrative, and project work for the assigned faculty and provide general secretarial departmental support as assigned by the Operations Manager. Requires excellent judgment and the ability to process and disseminate information, as well as excellent grammar and writing skills. Requires considerable expertise of independent judgment and initiative and the ability to interpret and follow detailed instructions. Requires a high level of dependability and excellent attendance. May be required to work extra hours to meet department or project deadlines.
Provide assistance with administrative and operational activities of a complex nature for a growing research lab. Organize meetings, arrange catering, and provide logistical support for departmental meetings/conferences. This includes coordinating calendars, typing agendas, scheduling catering, producing flyers, reserving visual and audio materials. Coordinates travel for faculty, classified staff, and visiting lecturer's travel, hotel arrangements, ground transportation, honorariums, reimbursements, and itineraries. May include arranging meetings with specified participants. Backup Kronos timekeeper for the department. Works in Discover System and brings all educational appointments into the department. Keeps calendar for departmental conference room. He/she must be able to understand and respond to telephone conversations with vendors and suppliers, both within and outside of the institution. He/she must be able to clearly write and/or clearly communicate verbally person-to-person or over the telephone.
Purchase and Track Office/Lab Supplies and Equipment Requests
Purchase supplies and equipment requiring use of server and web-based systems such as Resource One. Process check requests, travel requests, and purchase requisitions/order. Prepare expense reports, travel and Concur reimbursement requests for both faculty and staff. Document all expenses and accurately prepare expense reimbursements according to institutional guidelines. Communicate project status (completion and/or delays) as needed. Purchase supplies with Procard and reconciles account monthly.
Account Reconciliation & Financial Management
Receives and files PRS expense/supporting documents, reconciles the accounts, and sends out monthly reports to faculty. Accesses the Financial/Purchasing Database to review and verify encumbered/estimated expenses posted and confirms actual expenses incurred. Creates purchase orders and requisitions. Closes purchase orders as necessary. Completes the monthly Statistical Sampling report.
Other duties as assigned.
Required: High school diploma or equivalent. Five years of administrative/secretarial experience. With preferred degree, one year of required experience.
Must pass pre-employment skills test as required and administered by Human Resources.
Salary Range: $38,800 - $49,500 - $60,200
